CPS 2006 & PM 2004 - How can I get the Delay Reason code to print in Box 31 of the UB?

Background...

When I put the delay reason code in the visit's Filing 1 tab > Delay Reason field, the system is not picking it up on the claim.

Answer...

Box 31 is an occurrence code and must be populated in Administration before you complete the claim.

For CPS 2006:

  1. In Administration, select Claims | EDI | Institutional > Occurrence Code.
  2. Click New.
  3. For Description, enter a description of the occurrence code, such as non-taxable.
  4. For ID, do one of the following:
    • Use the dot ID search feature by using any combination of numbers and letters that are unique to the occurrence code.
    • Click New and enter a unique ID number for this occurrence code or leave blank for the application to generate a unique ID for you.
    • Click Modify and enter a unique ID number for this occurrence code.
  5. For Code, enter the NSF code for the occurrence code.
  6. For ANSI Code, enter the ANSI code for this occurrence code.
  7. For Notes, enter any notes pertaining to this occurrence code.
  8. Click Save.
  9. Note: To display the Filing2 tab, select Options | Preferences > Visit Claims and check the Filing2 checkbox. Then exit the visit and reopen it.

For PM 2004:

  1. In Administration, go to Visits | Claims/Visits folder > Occurrence Codes.
  2. For Description, enter a description of the occurence code.
  3. The Code field populates the UB form.
  4. For Code, enter the enter the NSF code for the occurrence code.
  5. For ANSI, enter the ANSI code for this occurrence code. The ANSI field populates the electronic file.
  6. For Notes, enter any notes pertaining to this occurrence code.
  7. Click Save.
  8. Click New to enter another occurrence code.
  9. Open the visit and select the Filing2 tab.
  10. In the Occurrence Code fields, enter the codes you just created.
  11. Note: To display the Filing2 tab, select Options > Settings and check the Filing2 checkbox. Then exit the visit and reopen it.
